Scanner on network only communicating with certain PCs

The scanner is a Canon Imagerunner c4580 copier/scanner/printer and the PCs are all Dell optiplexes of various generations, mostly P4 with a few Pentium D / Core 2.

I'm not really well versed with networking, so forgive any misnomers/mistakes.

The idea is the document is scanned then the scanner sends it to a shared folder on the PC of the user at the scanner. It actually works, I just can't figure out why it's only working for some people when everyone's profile and PCs are set up identically, or as much as can be expected.

The send locations are configured as Windows SMB shares and as such read something along the lines of \\userPC-XP\Scans.

A few users can scan, and the document shows up in their folder no problems. The rest scan, then the scanner shows you a "Check the server" message and prints an error report. The report itself is useless but the web UI for the scanner has a log which shows an error code that diagnoses down to the following.

The first two suggestions relate to SMTP errors which should be irrelevent as none of the user profiles on the scanner are set up for SMTP, just SMB.

Cause 3: You are sending a file to a destination to which you have no write permission.

Remedy: Check the destination setting.

I tested this the best way I could think to. First I made sure the user's had put the correct password into the scanner (The shared folders are shared only to the user's ID so that they aren't freely accessible on the network) which solved nothing, and tried giving one of the shared folders "Full Control" settings for the "Everyone" group, which also did not work.

The fourth cause relates to the destination folder having a file with the same name as the document being sent, but all the shared folders that are having problems are still empty.

Cause 5: When the machine tried to send a file to the server, either the folder name is incorrectly specified or the password is incorrect.

Remedy: Check the destination setting.

I checked everything I could, all the shared folders have the same settings for their respective users and all the user profiles on the scanner are identical except for the names of the users themselves.

Also, all the computers can access the web UI for the scanner, so they are at least able to communicate on some level.

I'm just at a loss for why only certain computers are working when I've tried to make sure they're all set up exactly the same. I'm not aware of any [security] software that would be causing this and I would think a hardware issue would probably affect all the PCs, though I don't know for certain what's behind the scenes.

Any ideas of what I could try or suggestions of what else to check? Also let me know if I've left anything out, it's friday after all :D

I would start by checking the Event Logs on the destination computers to see what kind of errors you find. In particular, I'd probably start with the security log and look for Failure Audits. Other than that, just double-check that the paths to the shares and permissions are set up correctly.

Change the scanner setting for an account that does not work. Use the IP address instead of the UNC.

\\192.168.1.11\Scans (or whatever the IP is)

instead of

\\userPC-XP\Scans

See if that changes anything.

Scanners are Not regular Networked devices.

To get the most of AIO it is best to install its management software on every Network computer.

Haha, awesome. So we had some reps from Canon out here earlier this week and they couldn't tell me what was wrong either, far as they could tell everything was setup correctly.

Well at least my boss can't blame me now. Hopefully I hear back from them soon.
