I spent some time in Germany last month and it was much easier to speak face to face.
In email they are always taking sentences as being offensive. No big deal, just explain to them before hand the issue and they settle down.

The Microsoft office compatibility update is already part everyone?s machines today. There should be no issues viewing files from various version of MS office. Also to note the refresh program is written into our contract with XXXX and after investigation there is virtually no savings staying with old software and hardware as the monthly charge to XXXX is virtually the same. In other words we are paying the same whether we stay with our aging hardware or not.
We are communicating these changes well in advance to allow our users to being exploring the changes coming. We have already made available plenty of training materials on the portal including over 40 hours of instruction video for people to begin exploring on their own time. (portal link: )
As a technology company it is also important to continue sharpening our skills and keeping up with relevant changes in computing lest we risk falling behind our competitors. There is always some learning curve with new technology but this is definitely an opportunity for improved productivity once we know how to take advantage of the new tools. The hardware upgrade will show 4x the performance and alone will save everyone time.
