Software for scanning a bunch of documents and quickly naming them after each scan

I Have Computer

Junior Member
My scanner is part of a Canon Pixma IP4300. I have a bunch of documents that I want to scan in and have them organised by name and another detail like the date of the document or what it is about. For example "Doe John 01/01/01".

I use "MP Navigator EX" at the moment and it is frustrating.

What I'm looking for is software which will work like this:

1. I put the document in and press the scan button.

2. I type in the filename and press return.

It is now saved with all the other documents I've scanned in, all sorted by name and the date I typed. I can now scan again.

Unfortunately, at the moment it works like this:

1. I put the document in and press the scan button.

2. A window comes up saying Scan completed and I press OK to get out of it.

3. I press save.

4. I click the file name box.

5. I type in the filename and press return.

6. I click out of the 'Save has been completed' box.

It may sound petty but it is not. I have a lot of them to scan in so I need a quick way of doing this, one without having to move the mouse from point to point and click so much and moving from mouse to keyboard too. It would be handy if I didn't have to use the mouse, If i just pressed scan and then when it scanned in, typed the filename, pressed enter then pressed scan again. I don't need to hear dumb things like 'life isn't perfect', because there seems to be a lot of scanning software and I'm sure someone here has had this job to do before and might know where this software exists.

I've done a lot of searching for this and not found much. I've found people with the same issue, for example on this forum:

What i am tryign to minimze is the amount of time i have to be involved. I dont mind waiting a few for a good scanner to do a nice scan, but i just dont want to have to click a bunch of stuff afterwards.

Many of the Canon dedicated (not all-in-one) scanners ship with a program called Capture Perfect. I don't know if your printer included that program, but if it did, give it a try. Capture Perfect has a "scan to file" option which sounds like it will do what you want. When you click the Scan to File button, the program first asks for a file name, then pulls the sheet (or sheets) through the scanner and automatic saves the scanned result to the file name that you provided. The resulting image is also displayed in the program window but you can immediately click the Scan to File button to start a new scan and it will discard the currently displayed document, leaving the saved copy on the hard drive. If you need OCR as well, you'll need to add another step to have an OCR utility convert the scanned image to a text document, but if you just need to scan the files to TIF or PDF images, Capture Perfect is the simplest way that I know of.

if your scanner supports TWAIN, then IRFANVIEW's batch capture mode will do this.

in fact, all you have to do is change the sheet, and press the "return to irfanview" button, tmk. it allows you to set up rules for file-naming. among those is sequential filenaming, even allowing increments other than 1.
