About two weeks ago, in response to a Quantum e-mail stating that my rebate wouldn't be paid for another 4 weeks because of "overwhelming response," I sent their corporate relations office an e-mail with a link to an anandtech thread, which someone started saying a Quantum HD for $xy was a "hotbuy," but others, including myself, %itched about their rebate history.

I sent the e-mail along with a note ..."Thought you'd like to know what they are saying about you!"

Within 3 days I got another e-mail saying to disregard the original e-mail, a mistake had been made, and my check had been mailed.

Well, that check arrived yesterday ....five months and five days after I mailed in all the required crap.

Now UMAX is the enemy # 1 on my outstanding rebates Excel spreadsheet ....four months and 22 days and counting...

Or, if you have a palmtop/palm pilot, you just set a task that begins 8 weeks, or 10 weeks from the day you mail it. Make sure you include the 800# that you call if it doesn't show up. Keep copies of everything.

I'm probably old-fashioned, but after I copy everything I'm mailing, I write the date mailed on the copy and put it in a folder in my file drawer at work. About once a week I pull it out and call everyone that is overdue. When I get a check, I match it up with the entry in the folder and note that it has been received. Works for me, anyway.

Now I have a question. One of the fulfillment centers (the one in Coppal TX) told me that they "schedule" the check 8 weeks after the "enter" it into their system. Takes them three to four weeks after you mail it for them to "enter" the check and takes 7 - 10 business days for you to receive the check after they "schedule" it. Looks more like 13 weeks than 8 weeks to me. Is this reasonable? Who do you complain to?
Thanks!

My simple solution for tracking rebates - SCAN THE STUFF. As cheap as you can get scanners today ($10) everyone has easy access to the only tool they need.

I don't need to entered in my Palm, or type all the stuff into a spreadsheet or even have to keep track of a bunch of paper copies. I have everything in one place, the original receipt, copy of the rebate form (with contact info) and the product (UPC) info. It all gets entered with a date of the scan so you can follow up by sorting your file list. If I need a copy I just print it from the scanned image (no need keeping paper around that I don't really need). As I get in my rebate checks, I scan it too, include it with my original scanned papers and file it in a received rebate "cabinet".

Works like a charm for me! I've never had a problem getting my rebates ;)

I use Rebate Tracker. Keeps track of all your rebates and will send you a message when the rebate is overdue.

I scan everything into my system and save it in a Paperport folder. I keep a word file (much like the excel file someone mentioned) with a link to the Paperport folder. In the word file I have a column for date due and sort by that. My most stale rebate is a ReplayTV friends and Family rebate, which was mailed to them 5 months ago and which the automated system says was input on October 9 and I should have a check in 6-8 weeks. Still no response as to where that one is.

OldPro,

I have the folder system, too, but have so many to track I also log everything on an
Excel sheet.

But in answer to your question, No, that is not a reasonable time to "milk" a rebate payment.

What can we do about it? Not much, but I get a particular joy from replying to someone's "hotdeal" with the status of a "stinker' rebate outstanding from that company or retailer AND then sending the thread to the company or retailer. They hate bad PR.

Since UMAX hasn't been offering any hotdeals lately, i just decided to start something about them. 60's Gorilla warfare in the 'net age!

No, to me that is not reasonable. If the form says 6-8 weeks for the rebate, I expect it in 6-8 weeks. If they know their system takes 13 weeks then that's what the form should say. Anything less than that is false advertising. They should either revamp their system to meet the waiting period they advertised, or adjust the time period on the forms.

As for complaints, I would try to find some contact with the rebate fulfillment company (phone, fax, email, snail mail address) that bypassed first level support and actually went to someone with authority to cut the check, not just give you a BS excuse. That can sometimes be elusive, if not impossible.

If I received no satisfaction from the rebate fulfillment center I would then contact the store I bought the product from AND the manufacturer of the product. Again, regarding the store, I would direct my complaint as high up the corporate ladder as I could, nothing below regional manager. I would address the complaint to the manufacturer to the Customer Service Dept. I would explain the situation and stress to them that I bought the product solely on the basis of the rebate. I would also stress that I was a good customer, patronizing their store (or buying their products) frequently, and I expect them to honor the rebate they advertised if the fulfillment company would not. If this contact was in writing (letter, fax, email) I would address a copy to the rebate fulfillment people, to let them know you've taken it to the next level.

If I still received no satisfaction, I would file complaints with the Better business Burea (online form) and with my State Attorney General and include copies of that complaint to the rebate fulfillment center, the store, and the manufacturer. This usually gets their attention.

I had to use that last option once. I received a phone call the next day and the rebates in question within 5 days. This was after I had been given the run around for weeks.

As a side note - I am currently in a dispute with JoeExplorer.com regarding the $25 Amazon GC they promised for registering way back in October. The last person I spoke with from their company said it would arrive by snail mail before Feb 26. I just contacted them, reminding them that this was the third time they said there was a delay, and that the date they promised for receiving the GC was rapidly approaching. I informed them that if the GC did not arrive by that date I was going to file a complaint with not only the attorney general of my state, for false advertising and theft by deception (as my personal info, given at registration time, has value) but I was also going to send complaint letters to every company that advertised on their site, explaining their deceptive business practices and urging them to advertise elsewhere so as not to be associated with those kinds of practices.

We'll see if that GC comes.

my spreadsheet keeps track of:
product,
date_purchased,
purchased_from,
rebate_amount,
date_sent,
current_status (received, in_process, or unknown),
duration (in weeks).

In duration column, a value over 6 will be highlighted in gree, over 8 yellow, and over 10 red. Product names are hyperlinked to their correspondent scanned files that document receipt, rebate form, and UPC code (this is done automatically since I save the files in a standard way). Some statistics are calculated such as total amount received, total amount received. The numbers are also plotted graphically so I can have an idea on the rebate status at a glance:). I was going to add more function such as generate automatic email for status inquiry, but figured I had put too much work in this whole thing:).

currently I have about $400 pending.

I had excellent results by contacting the Better Business Bureau. I had a rebate from Western Digital that I just kept getting promise after promise that it was going to be mailed soon. After 4 months of waiting I filed a complaint with BBB.ORG. The next day I had Western Digital phone and email me and checks in my hand by the end of the week. Sometimes you just need to play hard ball.

McCall, you are now, officially, my hero. Dude, that's what I call follow through! My New Year's Resolution was not to buy anything that involves a rebate-- that's how much I hate those stupid scams-- but your advice will sure come in handy for the rebates I'm still waiting for from last year.

Although I may be a little less thorough, I am batting 1.000 in terms of rebates ... inlcuding one from UMAX, two most-recently from Western Digital. I do note rebate incentives when I track the price of my system (see my web page for an Excel example). I also keep hardcopies of everything I send out for rebates, but I try to not count the days to fulfillment. Stuff like that probably leads to ulcers. :)

I admit I did send the UMAX and WD rebates via certified mail (probably not even worth the cost, but ...). I had the return receipt within 10 days or so.

Now, I am only on the hook for $10 from Microsoft.

I got my ATI rebate ($40 on rage fury pro) just within 8 weeks as they promised when i bought it. Does anyone else has any idea about how ATI is about MIR?

ATI rebate on the Rage128 card a year or so ago came on time. They also provided the additional DVD CD player software and some ferrite beads right on time. Digital Research and Diamond's rebate houses are on my "Don't buy" list as they took some real persistence to get them honored.
