My dad has a company that sells products, much of which is done over the phone. Right now, the guys that are covering the phones are writing down notes for every phone call they take. This is necessary for the following reasons.
1. To make sure no mistakes are made when typing up the official order.
2. To keep track of what is being ordered. A lot is ordered at a time sometimes, and also the products are all similarly named. (ie. 3Z4B vs. 3Z2B)
Since they do use their notes to write up the final order, they don't want to be using audio recording for the record keeping.
As a double check, they staple this paperwork to the final order. Most of the time, these copies are never looked at again. They are only pulled up when there is a discrepancy between what was ordered/shipped versus what the client receives.
I figure I can eliminate the need for this paperwork as long as we keep digital records. There are a few necessities to do this.
1. Each salesman would need a unique ID to enter notes to show who entered the notes.
2. PO Number.
3. Date.
4. I want the ability to let other people look at other salesmen's entries in case orders need to be passed to someone else.
What kind of software is out there that can take notes like this? I am thinking FileMaker Pro might be an option. Does anyone else have any ideas?
