Introductory Sales email to existing customers

I'm writing up an email that I will send out to all of the existing customers of the company I work for. I've been given permission to take ownership of the account if I can get any word back from them or credit for any orders that come my way. I just want to keep it short and sweet, let them know I will go to bat for them to get them a good deal, etc.

Hi #FirstName#,

My name is Jason, I do sales for Company.com

I just wanted to reach out and introduce myself as a point of contact for sales related inquiries. If you have any questions, comments, or requests regarding anything related to sales, please feel free to contact me directly. My email is easy to remember, it is just ?Jason? @ company.com

Often emails to our sales@company.com get lost in the spam. You will get better service if you contact me directly.

If you have any projects in the works, please give me a call or shoot me an email. I can help with co-location, dedicated servers, virtual servers, managed hosting, complex hosting, load balancers, firewalls, etc.

Also, if you have any customers, associates, or friends that may need hosting services, please give them my contact info or have them call us and ask for ?Jason?. =)

I will do my best to get you the best pricing possible and will go straight to the company owner to get you the best deal. I am in the office from 8am-5pm CST and will answer my email at any time of the day.

The bit about emails getting lost looks bad for the company (like they don't care about their customers). Along the same lines is this line "My email is easy to remember, it is just ?Jason? @ company.com."

 
Bad ideas found with a 10-second skim:

1) Don't tell people your 'sales@' inbox gets swamped with spam
2) You're using a '=)' smiley in a business email? Seriously?

...And they say email & text hasn't eroded the communications skills of the young.

Good start, but like others have pointed out, you do have flaws.

1) As a customer, I really don't care what you "do". I only care about what your company can do for me. Thus, you should state that you will make purchases as easy/fast/cheap (whichever is relevant) as possible and not start off by saying that you "do sales".

2) Your "lost in the spam" line is horrible. Like xchangx said, it makes your company seem like dirt. Not only are you spamming me, but you are spamming me with information that says you are a crappy company.

3) I don't give friends, associates, or other customers any names of spammers. Drop that whole paragraph. If you show me that you do a great job THEN I'll give them your name.

4) And you'll really have to fight the impression that you are spamming me with this email. Start off right away with something that benefits me, or I'll never get past the first paragraph. If you will really do your best to get me good pricing, start off with a coupon or discount, or some other offer. Make me want to read the rest. Results first. Promisses later. Otherwise, I'll click delete.


I just did a quick scan through my email. I almost instantly delete all emails like yours. But I've kept a few for some reason or another. The only emails like yours that I kept had these two features in common:

1) They started off with a deal or something to draw me in. For example "Have you received the 2009 [company name] catalog?" Since I do business with that company, of course I want the newest catalog. Suddenly you aren't wasting my time, you are benefitting me.

2) They were short. I'm talking 3-5 sentences. I don't want to read a novel to find out that my sales contact is changing yet again.

How many of your salesman change emails have you kept? What made you keep them?
 
nobody will take you seriously with this email. it is one thing to be humorous and still be serious and another to write like a high school student.

"I do sales for Company.com " (and Company.com does your website)
"You will get better service if you contact me directly. " (this just sounds fishy)
"I will do my best to get you the best pricing possible and will go straight to the company owner to get you the best deal." nobody will bite the hand that feed them, it tells your customer that either you lied or is stupid.
 
As an IT manager who has to listen to any number of spiels, you lost me at the beginning for all the reasons stated.

Forget the email. Call on the telephone then follow up with a PERSONALIZED email professionally written. You might then get a chance to turn 2%-5% of your contacts. Otherwise, by email alone, well, I hardly ever look in my deleted folder. 😉

Oh and one word of advice:

The people making the decisions and the people placing the orders are often different people.
1) You can email my secretary all that you want, but you'll never influence how I buy your product.
2) You can watch my account until your face turns blue and you'll never see the millions of dollars in your product that I buy*, because all orders go through my secretary.

So that means that if you use prior sales as a guide, you may be watching the wrong people. And, if you email buyers you are probably emailing the wrong people. Personal contact (like dphantom stated) can help you clarify the right people to contact even if your records show that those people never directly buy a thing.

* I don't actually buy that much product, the millions was just an exaggeration for effect.

I would actually start with the customers with the most sales first
 
Don't want to be too critical as I used your original email to inspire me, however my two pence worth is.......

Why mention price?? For all you know they are perfectly happy with what they are paying and you just invited them to question and ultimately request a bigger discount.
