Inside a rebate company - what really happens

I worked at one of the larger rebate companies in the Dallas area last year. This might shed some insight as to why our rebates take so long or get lost. Basically you're looking at a little mailroom 10 feet by 20 feet long with boxes of incoming mail stacked wall to wall. From there a room with about 30 minimum wage workers, not all of whom speak English open and sort your envelopes. You would not want these people in your house, let alone handling your $45 rebate.

From there your rebate goes to another room for data entry. The error rate for typing mistakes was about 5%, but they have a new system for cutting down on errors. This is actually the best part of the process. However, there is a risk for data to become lost once it IS entered into the system. Maybe the rebate was set up wrong and an entire rebate is screwed up which may need to be fixed for the entire offer. This happens, but it would only delay your rebate.

If you need to call customer service you will get one of about 5 people who handle all of the rebates. One would come back reeking from marijuana numerous times during the day. They can correct any errors and put you back into the big database, sometimes with an "EXPEDITE" on your claim. This means your check will be sent out when the next batch of checks for that rebate is sent. These people have nice little cubicles and you really couldn't generate any heat or get them in trouble for not sending out a rebate. Some customers always yell and scream and whine, so it won't get you anywhere. You could threaten to sue them, but it most likely won't do you any good.

Long story short is that you are dealing with a business whose customers are really the manufacturers and stores. Rebate houses want to keep them happy, not you. What prompted me to write this was seeing some posts about lost rebates and long turnaround times on getting checks. All you can really do is call the rebate company after the 8 weeks are up and have them expedite it. Make sure you get the name and direct line to one specific person. Always call that same person back. They don't want their phone to ring and after a few calls they will just walk over to the office that cut the checks and send it to you manually. Hey - they deal with thousands of rebates and if they have to risk sending you 2 checks just to make you go away, then they will. Most people forget about their rebates. Keep your receipts, copies of UPCs...always call the same person back, write legibly. If they can't read your handwriting they will make something up and maybe you will get it, but the odds are that you won't and you'll forget about the rebate and they will get to keep your $45 when the check is lost in the mail. This will save them the hassle of sending you your forms back with a reject slip and you getting pissed off and calling them and you resubmitting the rebate.

This doesn't work for getting multiple rebate checks does it?

I do notice that a lot of rebate, car parts, computer, cereal, etc get sent to almost the same address, just different PO box.. so it's pretty much a small processing center as described and yes, how can you mistaken the letter "A" for the letter "U" when it's TYPED... My handwriting is okay but I type the forms on big rebates to insure accuracy and it often comes back with misspelling on my name... how hard is that.. especially when it's TYPED

Here's how it looks from my point of view...

A.) I send it in.

B.) It gets "lost".

Question !

If for instance on the CompUSA Memory rebates($30-$30 Rebate, Limit 2 per household), is it possible to change your addy ie-

123 1st Ave So to-
123 1st Ave

and not be detected for doing two rebate offers? Im worried that although I bought two memory sticks with two rebates, I may only qualify for one.

bubbasimms--Very nice post. You have a flare for helping us to "see it". LOL, no wonder the addy's get messed up, and, I sometimes get numerous checks.

I don't think most people are cognizant of a couple other things you can do:

1. Go up against the vendor. This was an inducement to purchase. BB and CompUSA both hold mucho $$$'s from vendors, just for this reason.

2. You can also put the charge in dispute before your 60 day period is up....check your cc rules. IF, the rebate comes thru, you can take the dispute off. However, I wouldn't make this a common practice, and only toward the end of the dispute period.

Ummm I read somewhere that only 50% of the rebates are valid or processed or get to the customer's pocket.
Some due to customer not knowing, lost mails, not qualified...etc.

And that is why Cyberrebate.com LIVE!

In the right situation, definitely go to the vendor. Case in point:

I got a couple of Lexar Media CF cards last year. One 48MB, one 64MB. The rebate form said one rebate per household PER PRODUCT. It then gave a list of PRODUCTS. Note the plural. The rebate form used the word PRODUCTS, not PRODUCT.

Long story short, the rebate company denied my rebate, saying I had exceeded max rebates. I called them, they agreed to send out the second check. 6 weeks later I get another denial notice. So I called them back, and this time they said no go.

So I went to the Lexar Media website, trying to find a customer relations email address. I didn't find one, but I did find one for sales. I sent a firm, but not rude, email to them explaining the situation and that I would never buy another Lexar Media product again - Sandisk would get my business from now on.

One day later I get an email from someone at Lexar saying they had talked to the rebate company, it was all a misunderstanding, and I would get my rebate. A week later I did.

You didn't hear it from me, BUT...
If you don't have a separate PO Box and/or friend to get the rebate's name in..if you want 2 rebate checks. Change one of the first 5 letters of your last name AND one of the first 10 characters in your address so you won't appear on the "duplicate list".

So if you are Bob Jones, 1313 Mockingbird lane. Change it to Bob Ghones, 1313 Muckingbird Lane.

This is pretty standard among companies such as this, including rebates, the more organized mailing lists, etc. The only problem is if the data entry person corrects the spelling on your form because they live down the street from you. This is pretty standard among rebate companies such as this. If a duplicate is found according to what I said above then they will have a human look over the list at the end of the day and make a judgement call.

ps - this was my first post - I have been lurking since I found this board yesterday. But I've been a long-time rebate-shopper.


Of course I do NOT recommend doing this because it could be fraud. Send the rebate to someone who will cash the check for you and has no interest in the freebies.

If you photocopy the filled out rebate form, receipt, and upc you should never not get a rebate. Keep track of when you sent in the rebate and if you dont' get it in 10 weeks call them up. If they don't have you in the system find out where to fax your photocopies to. I have had only 2 problems with rebates:

1. The rebate company said that they broke their contract with best buy and wouldn't pay a rebate. I went to the local best buy store and told them what happened. I showed them my photocopies and they paid me cash on the spot. A few weeks later I got the rebate in the mail too. Aparently the contract was reinstated.

2. A book company said they never got my rebate and that it was too late to get a check from them; instead they offered me a free book.

Just be persistent. I never give up if money is owed to me.

Too true. I have had pretty good luck with my rebates from most places except Kingston. They have screwed me 3 out of 5. Unless you keep records of them and stay on top of them they are iffy.

Make a copy of everything you send, then enter the date on your calender or planner. Call when the time is up.

In the Quantum HD rebate thread Jayster just posted a link to a freebie program that helps you track your rebates. I just installed it and have no experience with it, but my first impression is &quot;WOW&quot;.

If you do the rebate-thing, this appears to be a must have.

I must be the lucky half...i always get my rebates and always get it at a timely manner... even the evil kingston rebate i just recieved. Make sure you photocopy or scan every rebate form and reciept and keep track of all pertinant dates and numbers... 5 mins of work insures you get your money. My best experience was TDK...great rebate fullfillment, i got my check within a month.

bubbasimms, thank you for your post. I've always wondered why in the hell rebates were so often lost, resulting in huge losses to everyone expecting their rebate checks to arrive. You are right, most of us forget because rebates take way too long to get. I think this is the reason why I don't want to rely heavily on rebates to arrive so I try and not purchase items that seem like a steal AFTER rebate.

Thanks for the informative post. I wonder who handles Microsoft's rebates, they seem to go out really fast. The 2 times I've gotten MS rebates, the check came back in 3 weeks. Recently, Iomega also seems to be pretty fast, that one was a surprise.
