Help me spend your money - need ideas for office supplies!

Okay, here's the deal:

I recently took over a small, two-person military law office (it is just my paralegal and me). Our predecessors left about $2,500 in our annual budget, which we have to spend within the next month or so. For those who do not know (probably most of you), any federal office has an annual budget, and if it is not spent by the end of the fiscal year, the money reverts to the government, and ordinarily your budget shrinks the following year, by the amount you failed to spend.

We have already spent about $900, on a killer new fax machine and various supplies. We both already have really nice new computers (we have these Gateway All-In-Ones), and I have already been issued a nice laptop (a Dell Latitude 1.7GHz). Since the PCs are all-in-ones, we can't get replacement monitors. We have requested, and will probably receive, a high-end networked color laser printer, and we already each have a Laserjet 4050 with duplex unit. I already have a TV/VCR in my office that I never use, and we have a small one for our waiting area (we have cable).

We can't really buy furniture, because we are moving to a new, furnished office next spring. We can't buy any food or drink, and can't buy vast amounts of consumables (e.g., 5 toner carts per printer, or 50 cases of paper or something) in advance - we are only allowed to have a reasonable stock. We have enough pens, pencils, pads, etc.

The nature of my work involves a lot of travel, and we are in a business where we regularly have clients visiting.

I am thinking about possibly getting a nice new TV/DVD/VCR combo for our waiting area, and possibly a high-end laptop backpack to carry my laptop. I will also buy some very nice remote-control pedastal fans, since we lack A/C and the climate here gets warm in the summer. I am toying with getting a PDA, though I have never really used one and don't know that it would be useful.

Does anyone have any other ideas, within the rules I have provided? I am amenable to buying expensive stuff. Help me spend this money, and put your tax dollars to work!!!

Definitely get a high-end laptop carry case. Also, I'd recommend a nice sound system for the office - classical music is VERY nice to work to. Maybe some in-wall speakers or something to that effect.

I like the laptop case idea. How about a surge protector for it and while your at it UPS for the other machines.
Do you have a copy machine?

Yeah, we have a nice industrial-grade Canon copy machine.

I second the UPS idea. Maybe a wireless internet setup so people waiting can browse the net.

Thanks for the ideas, guys!

The network people would never allow wireless (they do not even allow wireless keyboards or mice for security reasons), and I am lukewarm toward UPSs. The PC work we do is not THAT critical, and the power has always been pretty clean - if anything network stability creates more problems. Still something to consider . . .

Keep the ideas coming!

No A/C? Get an A/C! What's wrong with you?!!

Also, a UPS is a definite. One day you will wish you had it.

That's a bummer about the wireless. Game console & some games for entertainment, medium sized fishtank, some plants?

I know this is going to shock you, but how about not WASTING OUR money on crap and give the money back!!! That right there is EXACTLY what is wrong with our federal budget!!!

That's a pittance compared to wages. I can get over what the government spends on 'crap' because it's going back into our economy. What the military spends is doubly important for high tech jobs and research. It all comes out in the wash, but don't get me started on the welfare waste!

Get a PDA, I recommend the Ipaq 2215, although that may be too cheap for you ($399) You can use it to keep clients information, jot notes, take voice notes, keep appointments, check your email on the road (it has integrated blue tooth, so any cell phone with bluetooth technology can be use like a modem) there are also other uses, we use them at work to keep inventory, but that probably won't be something you need it for. If you want to spend the money you can get the 5550, which is a beast of a PDA, it is bigger than the 2215 (bigger screen but also larger form factor and heavier) but it has biometrics, integrated wifi, blue tooth, the works. I can't recall off the top of my head if it has the pxa255 chip, or the pxa250, but the 2215 has the pxa255, which adds an extra umph to your applications (especially video, divx can be played at full 29.97 FPS meaning say good bye to those audio sync problems)

/edit don't forget the storage medium and accessories, if you do traveling you may be able to write off a compct flash GPS for it, also the device has both CF and SD slots which can (and should :p) be used simultaneously.

a) I agree with you. You would be horrified at the abuses that go on in larger organizations at the end of the fiscal year - at least I only have $3K to blow.

b) There is no way I am giving the money back. That would only hurt my successors and me later. I don't make the rules, I only work here . . .

I second the audio system. Like said, maybe those in-wall speakers or ones in the ceiling. Otherwise, the UPS'es, new accessories for your computer like the MX700 mice, you can buy some RAM for your system. Hmmm... what else? magazine subscriptions for waiting room including P-Boy, Maxim, etc. for those wanting "special" services w hen you take the kneepads out ;) j/k Seriously, some mag subscriptions wouldn't be bad, just get like 4 year subscriptions making sure you can change the address somehow. How about some vacuums or something to keep the place clean with?

Small fridge for both of you to keep drinks/lunch. Microwave...

I agree wholeheartedly, but, again, I don't make the rules.

you should think ahead at what things you will need for your larger office.

like more chairs. a watercooler. coffeemaker. small refridgerator. microwave.

portable projector.

nice herman miller chair.

alot of things will bring you to $2500 quickly.

How about hiring a law clerk? (Wink, wink) :)

Seriously, how about a digital postage scale?

Some good suggestions so far - I am considering UPSs, a PDA, a really high-end coffee maker (though I don't know that I want to start drinking coffee during the day), digital camera, and a water cooler (assuming we are even allowed to get one - not sure on that). We already have a fridge and microwave, I can't buy and don't want an office cell phone, and I am not buying furniture.

Any other good ideas floating around?
