Been trying to help my boss out with this issue despite my limited knowledge and was wondering if I could get some help. And I do apologize if I am in the wrong section but this did seem the most appropriate.
We recently installed a all-in-one Brother printer over our network and we are wanting to setup the receiving faxes to be sent to an email rather than printed.
After a little research I found out it was possible with our printer via a service in the printer named I-Fax.

But when it came to the SMTP/POP configuration I got a bit lost as some of the variables were confusing to me so hopefully I can get some input on this. For this current example I setup everything using gmail.
SMTP Server address: smtp.gmail.com
SMTP port: 465
SMTP Server Authentication Method SMTP-AUTH (other possible options would be none or POP before SMTP)
SMTP-AUTH Account Name: example@gmail.com
SMTP-AUTH Password: same password as gmail
SMTP over SSL/TLS: SSL (other options are none or TLS, I chose this setting based on gmail's faq)
Verify Server Candidate: unchecked
Printer E-mail Address: example@gmail.com (I printed the network configuration and this came up based on when I had entered it a while back. I am unsure if this needs to be a different email altogether.)
POP3 Server Address: pop.gmail.com
POP3 port: 995
Mailbox Name: example@gmail.com (this is where I am the most confused, I am unsure if this is something I need to setup before hand or just use my email as I am now.)
Mailbox password: same as gmail (the guide also mentions I can set this up as a blank password which confuses me even more)
Using APOP: unchecked
POp3 over SSL/TLS: SSL (again the other options are none or TLS)
Verify Server Certificate: unchecked
Segmented Message Timeout: 120 min
With all these settings I keep getting an error message when testing the configuration:
E-Mail Send Configuration
User authentication to the SMTP server failed. The SMTP server may require a different method of authentication. Please check the method of SMTP server authentication.
E-Mail Receive Configuration
It is verified that the specified e-mail receive configuration is valid.
