I have a client setup with an external POP account as their default, and Exchange server setup for internal communication.

Sometimes when people send e-mails, it sends it as the Exchange internal e-mail account which is %username%@domain.com. This is the incorrect e-mail address and when people respond to this e-mail, they get bounced back responses.

I have changed everyone's e-mail address in Active Directory to their correct e-mail address so that when they are sending outside and for some reason uses Exchange, it should have the correct reply address but this problem seems to pop back up again and again. Also, some users use the same e-mail account so when I try to enter the same e-mail address in AD it gives me an error, although it does successfuly save the e-mail address.

I'm lost as to why, only sometimes, internal e-mail addresses are being used instead of the default POP email account.

Any ideas?
 
Did you modify the Exchange Default Recipient Policy to permanently make their POP3 email accounts the default return address? Otherwise, within a day, Exchange will change the default return address back to the original (with the Exchange Server's address).
 
I just changed the default recipient policy's SMTP setting to @bellsouth.net (which is their external pop account).

Another problem which I just received an e-mail pertains to this:
3 users check the same pop e-mail account, so when I went into AD and changed their e-ail address to the same account, it gave me an error but accepted the changes. However, one user just tried to send an email and recieved this bounce back (although she has been working fine for a couple days now):

A configuration error in the recipient's e-mail system prevented delivery of this message. Two recipients are configured with the same e-mail address. Contact your administrator.
 
If it were me, Id move them to Exchange for all the emails and then make a public folder mail enabled and have the POP3 emails download into there, Mapilabs has a POP3 connector that worked in this situation for about 6 or 7 months for one of my customers.
 
I agree, I'd just cut out the issues altogether and switch them all over to using the exchange server as the primary, that's what it's designed to be used as in the first place. With what your doing, you'll end up having more and more headaches as time goes by. Just save yourself the time and switch everyone to exchange.

FYI, if your using SBS server as your DC, it'll do what your referring to (switching the default email address in outlook) everytime they logoff and log back in. Again, just use it as it was designed and use the exchange as your primary email server.
 
Nope, not like your setup, sorry.

If several users need to access emails for one particular address, then they get either a mail enabled public folder, or a group mailbox is created...whichever they prefer (most likely the pub folder)
Once you setup the popcon (which is free), the emails just end up in the public folder (although I guess you could direct them to a group mailbox just as easily)
