Asset tagging

Would this be something that would be good for a small company, less than 100 PCs?
We have lots of other items that can be tagged as well, like printers, monitors, and other pieces of hardware.

I would think so, unless it is cost prohibative. Do you trust the workers at the company to not take stuff?

we haven't had any problems in the 2.5 years that i've been here.
i think it may be something the financial advisors want us to do.

I would think the CFO would demand asset tagging and inventory so he can calculate depreciation for tax puposes. Also, budget forcasting is much easier with a detailed asset database.

Any plans for this business to grow? It would be good to have a mature asset tagging procedure in place before any growth. At 100 PCs, meh.

i doubt it will ever grow beyond 100 PCs and if it ever does, that most likely won't happen for many years. I think we have about 80 users with PCs (not counting servers).

Aye, I've asset tagged a couple hundred items for my company. It's very useful and A LOT easier to keep track of your equipment. Everytime I had to (and still do) look up items in an inventory, I'm glad there's a clearly marked, sequential number to look up. Otherwise, enjoy the 16 digit, typo-prone serial and flaky model number. If it's only 80 PCs plus equipment, it'll be pretty easy to tag 'em.

Not much use for theft "prevention" though. No one's gonna notice or care if there's a sticker labelled "Property of _____"; not to mention how easily they come off. If you do it, do it to catalogue stuff easily, and identify company and personal equipment.

I tagged roughly 400 items for a small company and set up a database for them to help locate specific items around the office.

I tagged:

Computer cases: Logged the components in the database under custom fields. If it is upgraded, the old part is automatically added to a spare inventory database.
Monitors
Phones
Faxes
Printers
Laptops
Copiers

It turned out to be very useful. Before they remotely launched a few new programs that required 512mb or 1024mb of RAM, they were able to sort the machines based on the installed RAM and quickly upgrade the select machines that needed it.

It's a good idea for a number of reasons.

1. You can put an asset tag in a more conspicuous place compared to where the serial number is, making it easier to track and identify equipment.
2. You can use tag numbers to verify warranty status.
3. It discourages people from messing around with equipment if they know the assets are tracked.
4. Accounting likes asset tags.
5. Useful for equipment other than just PCs.
6. You can get tags with bar codes, making it much easier to do an asset inventory.
7. They discourage theft. Especially if you spread the word that two tags are attached to each asset, and people can only see one.

so what size labels do you guys use for your asset tagging?
We're going to barcodes and have our company name on it i guess.

You think 1" W x 2" L will be good enough?

You don't need anything very big. I've seen some places use 1"x2" but my current place uses .5"x2" which makes it nice for laptops and such.

Ours are about 3/4" by 2" but they could have been smaller. They are tamper-proof foil with a super-sticky adhesive. I'd go with the smallest ones you can live with since it gives you more flexibility in where you attach it.

LOL! That's pathetic. They will peel off with time, and any contact will quickly damage them. Foil asset tags aren't that expensive. Buy some.

Agreed 100%. Don't use Avery pieces of crap unless you want to replace them every 6 months.

We use 1"x2" tags. They're custom printed (we have thousands, you won't need that many) and don't peel off if you apply them properly in the first place. Avery labels aren't too bad, they will probably peel if you put them on poorly, but if they do, put a piece of tape over them. Wipe off the dust before putting them on and you'll have no problem. Also, try not to put it over the power supply, exhaust or roller.

The barcode is a very useful addition; there is free barcode generating software online. Last summer, I did a division wide inventroy of over 5000 items, and the barcodes were a lifesaver. Only problem is the PDA from Symbol that reads them is about a grand.

It's a cheap and worth while solution to a potential problem. Better to get a system in place now than wait until a problem comes up and you are overwhelmed with junk to tag.

"Cheap" being the keyword. Spending the money to do it right the first time is more cost efective.

Avery labels should be fine for that many PCs.

We don't use foil stickers for asset here, but a heavier sticker designed for marking assets that is pretty strong, and very sticky.

We use avery labels for marking which network a computer is on, and they have lasted for quite a few years without falling off. And the people in our buildings seem to like to play musical chairs so the computers are picked up/handled quite often. They do tend to fade and start to look bad after a while, though.
